1. ChatGPT Team for the Monday-morning social batch
The problem: your GM is writing seven Instagram captions every Monday and they all sound like seven Instagram captions written on a Monday.
The play: Give ChatGPT your brand voice in a system prompt (we'll get to how), paste in your week's specials and events, ask for seven captions, edit them down. Time to first draft: four minutes. Time to publish: twenty.
Setup that actually works: Create a new project in ChatGPT Team called "Captions." In the system instructions, paste in three of your best-performing IG captions from the last six months and write: "Match this voice. No hashtags inside the caption. End every caption with a single question or call to action. Don't use emoji unless the post is genuinely playful."
Now your GM pastes the week's specials and gets seven captions in your voice, every Monday. The first month, edit them heavily. By month two, your GM is editing maybe one line per caption.
2. Otter or Granola for the post-shift debrief
The problem: your shift lead has three useful observations every Friday night and none of them survive to Monday.
The play: Have your shift lead open Otter or Granola on their phone at the end of shift and talk for ninety seconds. "Tonight: the 8pm rush hit hard, we 86'd the special at 9:15, two tables complained about the AC, Sarah covered for Jake from 8 to close."
The AI transcribes it. You read four ninety-second debriefs every Monday morning instead of asking four people to remember Friday. Pattern recognition jumps. You catch the third AC complaint of the week before the fourth one writes a Google review.
This isn't about replacing conversation. It's about not losing observations between Friday at 11pm and Monday at 9am.
3. Tally or Typeform AI for the post-experience guest survey
The problem: your one-question survey gets responses. Your fifteen-question survey gets nothing. You want depth but you can't get it.
The play: Tally and Typeform both have AI form-builders that adapt questions based on previous answers. So a guest who scores you 9/10 gets one follow-up ("what made it a 9?"). Setup: Build the form once, test it on yourself, send it via email or post-visit SMS within 24 hours of the visit. The 24-hour window matters — feedback quality drops 60% after 72 hours.
What to skip this week
Don't open: AI-generated menu photography, AI-written reviews, AI-generated music for your in-venue playlist, "AI staff scheduling" (it's just rules-based scheduling with a chatbot interface). All three are either bad or not actually AI.
Don't open yet: anything that promises "personalized guest experiences at scale." The tech exists, but the integration cost is six months for most independents. Wait until the case studies are real.
What this means
The frame: AI is a power tool. You wouldn't tell a contractor to run six new power tools on the same job, and you shouldn't tell your GM to. Pick one workflow that hurts. Replace it. Use it for a month. Then pick the next one.

Use enterprise plans for anything that touches guest data — ChatGPT Team, Claude Team, Gemini Workspace. The free tiers train on your inputs by default. The paid plans don't. Worth the $30/month per seat.
Will AI tools replace marketing agencies?
For your weekly social posts and email subject lines, yes. For brand strategy, market positioning, and the campaigns that actually move the needle, no. Use AI for execution work; keep the strategic spend with someone who knows hospitality.
